For our client FRONTEX the European Border and Coast Guard Agency, we are looking for candidates for the following position:
Administrative Assistant in Security and Information Management Division / Project Management Office
The description of duties is a presented below:
- providing administrative support in general administrative procedures;
Agenda and calendar management; - supporting in the daily organisation of work and tasking;
- supporting the organisation of online and physical meetings (including drafting minutes, preparing materials and presentations);
- assisting in preparation and follow up of correspondence such as drafting notes and letters;
- supporting the finalisation of the team’s contributions;
- sreparing and updating statistical data (tables, graphs, and charts);
- supporting various projects;
- organisation the workflow and archiving of documentation;
- drafting notes, letters, reports, e-mails and follow ups on documents;
- carrying out data entry and support the administration and monitoring of electronic databases;
- supporting in the review and preparation of documentation attached to claims, invoices, and requests for payments;
- monitoring functional mailboxes and communicate with internal and external parties;
- performing basic administrative tasks as copying, scanning, etc.
- creation of projects and office intranet sites and repositories.
- assists and contributes to Project Management Office horizontal activities, up to the individual’s level of competency.
Candidates applying should satisfy the following criteria:
- education: successfully completed secondary education related to the business needs;
- work experience: at least 1 year of professional experience in the specific area depending on the business needs;
- computer skills: very good skills in the main MS Office software (Word, Excel, Outlook);
- language skills: very good command of both written and spoken English (at least B2) / knowledge of additional EU language.

- ability to work under pressure and experience in organizing work and prioritizing accordingly;
- ability to communicate efficiently at all levels internally and externally and in appropriate manner;
